Reminders

The reminder that saves the appointment

The lead times are yours. After that every booking is reminded about on its own, and nothing goes out twice.

Three emails, one text

Up to three email lead times per booking, and one of them can carry a text as well.

Texts are opt-in

A client asks for texts and supplies the number. Email is on unless they turn it off.

Never twice

Each reminder is claimed before it's sent, so a retry can't produce a second one.

Lead times that suit the work

A week out is when someone can still move a colour. A day out is when they remember. Two hours out is when they leave the house. Up to three of those, in hours rather than presets, and every booking follows them.

One lead time — and only one — also carries a text. That limit isn't ours: mobile opt-out is scoped to the pair of numbers involved rather than to the message, so more text rules would only mean more chances to be silenced on the one that mattered.

Hours before the appointment, not a menu someone else wrote. Three of them at most, with a mark against the one that also texts.

Texting, done by the rules

The unglamorous part, handled — because getting it wrong isn't recoverable.

Express opt-in

A client turns texts on themselves and supplies the number. It defaults to off and nobody is enrolled for them.

STOP, START, HELP

Handled at the carrier level and mirrored in our own records, so a client who opted out stays out.

Email needs no permission

Reminder emails are on by default, and a client can switch them off from their own account page.

One thing worth knowing up front

Reminder texts come from the platform's number rather than one of your own, and that has a consequence we'd rather you heard here than discovered later: a client who texts STOP to any salon's reminder is opted out of reminder texts from every salon on Inchair. The carrier enforces it, and it isn't something we can override.

It's rare, and email reminders keep working regardless. But it's the kind of thing a marketing page usually leaves out, and you'd find out about it on the day it mattered.

Questions

Do reminders cost extra?
No. There's no per-message charge from us for reminder emails or texts.
Can a client reply to a reminder?
A reply to a reminder email comes back to you and lands in that client's thread. Replies to reminder texts are handled for opt-out keywords only — a texted conversation isn't a channel Inchair carries.
What happens when a booking moves after the reminder went out?
Reminders are claimed per booking and per lead time, so a rescheduled appointment is reminded about at its new time and nothing goes out twice for the same window.
Can I write my own reminder wording?
Not today. Reminders use Inchair's own templates, branded with your salon's name and details.
Can I send a one-off text to a client?
No. Texting is reminder-only. Anything else you want to say goes through the message thread, which reaches them by email and in their account.
